Subsidies
How to check, submit, review, decide on and disburse subsidies in Compense: the statutory monetary allowance, the unemployment subsidy and custom subsidies, for affiliates and operators.
On this page
The Subsidies module lets you manage, end to end, the economic aid your family compensation fund (caja de compensación) provides to its affiliates: from the moment the affiliate submits a request in the app or the portal, through the operator’s review and decision, to the disbursement of the money.
This guide is written for two profiles:
- Affiliates — the people who check their eligibility and submit requests from the app or the web portal.
- Operators / advisors — the people who review, decide and disburse from the management dashboard.
Note. The screens, field names and deadlines described here reflect the platform’s standard behavior. Your compensation fund can customize texts, document requirements and eligibility rules from the module’s configuration.
Subsidy types #
Compense handles three families of subsidies. Each one has its own requirements and its own flow, but they all share the same status lifecycle and the same management dashboard.
| Type | Who it’s for | How it’s granted |
|---|---|---|
| Monetary Allowance (statutory family subsidy in cash) | Employed affiliate with dependents and income within the legal cap | Monthly, as long as the period’s conditions are met |
| Unemployment Subsidy (protection mechanism for the unemployed) | Affiliate who lost their job and meets the minimum weeks of contributions | Payment plan for a limited number of months |
| Custom subsidies | According to the lines your compensation fund defines (education, housing, health, etc.) | According to the flow and requirements configured for each line |
Note. Custom subsidies use a guided flow (wizard) that your compensation fund configures step by step: what information it asks for, which documents it requires and which review steps it needs. The affiliate submits them like any other request and the operator decides on them in the same detail screen.
Request lifecycle #
Every subsidy request goes through the same set of statuses, regardless of its type. Knowing these statuses helps you understand what each profile can do at each stage.
| Status | What it means | Who acts next? |
|---|---|---|
| Draft | The affiliate is filling in the request and hasn’t submitted it yet. They can pause and resume. | Affiliate |
| Submitted | The request was submitted and received its filing number. The response deadline starts running. | Compensation fund (in the review queue) |
| Under review | The operator is validating documents, the family group and requirements. | Operator |
| Information pending | The operator requested clarifications or additional documents from the affiliate. | Affiliate |
| Approved | The request meets the requirements. Disbursement is enabled. | Operator / System |
| Rejected | The request doesn’t meet the requirements. It’s closed with a reason. | — (final status) |
| Canceled | The affiliate or the compensation fund voluntarily closed the request. | — (final status) |

Eligibility: how it’s validated #
The platform validates eligibility at two points:
- On submission. The guided flow won’t let the request be submitted if a consent, a signature or a required document is missing. The affiliate sees exactly what’s missing and in which step to fix it.
- On decision and month by month. For the monetary allowance, the platform also re-checks the conditions every period before generating a new disbursement (see Monetary Allowance).
The most common conditions validated are:
| Condition | What’s checked |
|---|---|
| Affiliate’s income | That it’s within the legal cap to be entitled to the cash subsidy. |
| Dependents | That there are valid beneficiaries, properly supported by their documents. |
| Supporting documents | That each dependent has the document required for their type uploaded. |
| Contributions up to date | That the employer is up to date; arrears can suspend the entitlement. |
| Validity / period | That the minimum hours or time for the period being granted are met. |
Affiliate tasks #
How to check my subsidy (affiliate) #
- Sign in to the affiliate app or the web portal with your credentials.
- Open the Subsidies section.
- You’ll see your requests with their current status and, if you have an approved request, the detail of your disbursements per period (month by month).
- Tap a request to see its timeline: when it was submitted, what status it’s in and, if the compensation fund requested information, which documents are missing.
Note. If the compensation fund requested information from you, you’ll see an “Action required” notice. Until you complete what was requested, the request stays in Information pending.
How to submit a Monetary Allowance request (affiliate) #
Submission is done through a step-by-step guided flow. You can pause at any time and resume later: your progress is saved as a Draft.
- In Subsidies, choose Monetary Allowance and tap Submit request.
- Employment status. Indicate whether you’re an employee, self-employed or a pensioner.
- Family group. Add or confirm your dependents (children, parents, orphaned siblings, people with disabilities, etc.). Each person must have their data complete.
- Documents. Upload the document that corresponds to each dependent according to their type. A progress bar shows the percentage completed; you must reach 100%.
- Declarations. Explicitly accept the data processing authorization and the declaration of truthfulness. You’ll see the exact text you’re accepting.
- Electronic signature. You’ll receive a one-time code by SMS or email; enter it to sign.
- Submission. The platform generates your filing number and a PDF receipt you can download. The request moves to Submitted status.
Note. If you’re an employee, some documents are delivered through your employer: the flow will tell you so and won’t ask you to upload them to the portal. If you’re self-employed or a pensioner, all documents are uploaded directly in the app or the portal.
How to submit an Unemployment Subsidy request (affiliate) #
- In Subsidies, choose Unemployment Subsidy and tap Submit request.
- Confirm your unemployed status and attach your employer’s termination letter.
- Complete the family group and the required documents, just as for the monetary allowance.
- Accept the declarations, sign with the one-time code and submit.
- The compensation fund will review your request; if it’s approved, your payment plan is generated for the months you’re entitled to.
How to complete information requested by the compensation fund (affiliate) #
- Open the request marked as Information pending.
- Read the operator’s note indicating what’s missing.
- Upload the documents or correct the requested data and tap Send.
- The request automatically returns to Under review.
Operator tasks #
The operator works from the subsidy management dashboard. There they find the request queue with each request’s status, filing number and response deadline.
How to review a request (operator) #
- In the dashboard, open Requests and select the one you want to handle.
- On the detail screen, review:
- Information about the affiliate, their family group and income category.
- Documents, with the validation status of each one.
- Step-by-step review, if the subsidy line includes a guided flow.
- Status, with the lifecycle timeline.
- Tap Start review to move the request from Submitted to Under review.
How to request information from the affiliate (operator) #
- On the request Under review, tap Request information.
- Write a clear note stating exactly which document or data is missing.
- Confirm. The request moves to Information pending and the affiliate receives a notification.
- When the affiliate completes what was requested, the request returns to Under review for your decision.
How to approve or reject a request (operator) #
- With the request Under review and all its steps validated, tap Make decision.
- Choose an option:
- Approve. Confirm the amount to grant (the platform proposes the calculated value; you can adjust it if the case warrants it) and indicate whether the payment will be automatic or manual.
- Reject. Select or write the rejection reason (required).
- Confirm. The platform:
- If you approve, enables the disbursement and, for the monetary allowance, activates the family group for the monthly evaluation.
- If you reject, closes the request and notifies the affiliate with the reason.
Warning. Decide within the legal deadline your compensation fund has configured (by default, 3 business days from submission). The queue highlights requests whose deadline is about to expire.
How to disburse an approved subsidy (operator) #
- Open a request with Approved status.
- Tap Disburse.
- Review the amount and the period and confirm the payment method (card, bank deposit, etc.).
- Record the payment. The disbursement is marked as Paid and the affiliate can see it in their app.
Note. Every action (start review, request information, decide, disburse) is recorded in the request history with the date, the user and the reason. This history is your audit backup.
Monetary Allowance in detail #
The Monetary Allowance is the family subsidy paid in cash. It has its own rules worth knowing.
Income categories #
The platform places the affiliate in a category according to their monthly income, measured in legal monthly minimum wages (SMMLV). The category determines whether they’re entitled to the cash payment.
| Category | Affiliate’s income | Entitled to the cash allowance |
|---|---|---|
| A | Up to 2 SMMLV | Yes — full allowance |
| B | More than 2 and up to 4 SMMLV | Yes — same amount as category A |
| C | More than 4 SMMLV | No — access to services only |
Note. Categories A and B receive the same allowance amount per dependent; the difference between A and B applies to service fees, not to the amount of the cash subsidy.
Period and accrual #
The monetary allowance is granted month by month. Every period, the platform re-checks the conditions (income within the cap, supported dependents, contributions up to date, minimum time worked) and, only if they’re met, generates that month’s disbursement.
- Dependents with disabilities who meet the requirements can generate a double allowance.
- When the entitlement is supported late, the platform allows granting previous months (retroactive payment), according to your compensation fund’s configuration.
Statute of limitations #
| Concept | Deadline |
|---|---|
| Claiming the amount made available | The affiliate has a window to claim it before the payment method expires. |
| Statute of limitations | The right to claim an allowance that was made available and not claimed lapses after 3 years. |
Warning. An allowance that has already been paid (the money entered the affiliate’s assets) does not lapse: the obligation was extinguished. The statute of limitations only applies to amounts that were made available and weren’t claimed in time. After the deadline, those amounts are transferred to the balance for social works and programs.
Unemployment Subsidy in detail #
The Unemployment Subsidy protects affiliates who lost their job and have a minimum of recent contributions. When the request is approved, the platform automatically generates a payment plan.
| Component | Characteristic |
|---|---|
| Maximum duration | Up to 6 months of benefits |
| Cash transfer | Distributed in decreasing installments over the benefit period |
| Health and pension contributions | Covered during the benefit period |
| Family allowance for dependents | Granted during the benefit, according to the requirements |
Each installment in the plan has its own status, which the operator manages from the request detail:
| Installment status | What it means |
|---|---|
| Pending | It’s in the plan but not yet authorized for payment. |
| Approved | Authorized and ready for the payment to be recorded. |
| Paid | The payment to the affiliate (or the transfer to the system) has been made. |
| Suspended | Reversibly paused (for example, for not meeting continuity requirements). |
| Canceled | Permanently canceled; it won’t be paid. |
| Expired | It wasn’t claimed within the deadline. |
| In recovery | It has an open recovery process (for example, for an undue payment). |
Note. To record an installment’s payment, the operator selects it in the request detail and taps Record payment, entering the method and the reference. They can also suspend an installment temporarily or open a recovery when appropriate.
Frequently asked questions #
Can the affiliate modify their family group after the request is approved? Not while the group is approved or under review. The button to add or remove members is disabled to preserve the integrity of the calculation.
What happens if the affiliate abandons the flow halfway? Their progress is saved as a Draft. When they come back, the app offers to resume right where they left off.
Where does the affiliate see the submission receipt? In their request’s timeline, they can download again the PDF receipt generated on submission.
How do I know a decision was recorded? Every status change appears in the request’s history with the date, the responsible user and the reason, both for the operator and for auditing.
